We suggest you obtain traveler's insurance for your trip (or the annual plan) and can provide a quotation to you. Most traveler's insurance plans need to be confirmed and paid within 15 days of booking confirmation for pre-existing conditions to be considered. We recommend Travel Guard for traveler's insurance.
Should your journey require a passport or visa, we are here to help. Some countries require an authorization letter, of which we will provide if you have an alternative service, all of which will be explain during the confirmation process. We recommend Travel Document Systems for passport & visa needs.
Once we've planned and confirmed your ideal journey, we will need you to complete the forms. By completing the Client Booking Form, you agree to the deposit and cancellation terms noted below.
You may use the following methods of payment for the the planning fee, deposit or final payment:
- Personal/business check or money order
- Wire transfer ($15 fee) - Click here for banking information
- Credit card - Visa, MasterCard, AMEX or Discover (3% processing fee)
Every destination, hotel, transportation provider, guides, etc., has different deposit policies. Should there be more restrictive terms for deposit and final payments than listed below, this will be identified during the planning process. Our deposit policies are the following:
- Twenty-five percent (25%) due at the time of confirmation
- Final payment due 120 days prior to departure
Cancellation policies vary with every destination, hotel, transportation provider, guides, etc., however we will always do our best to return as much as possible either through a refund or future travel credit. Some items such as gorilla trekking permits, train/airline tickets and some entrance fees are non-refundable at the time of confirmation. Our cancellation policies are the following:
- More than 120 days prior departure - 10% fee
- 90-119 days prior to departure - 25% fee
- 60-89 days prior to departure - 50% fee
- 30-59 days prior to departure - 75% fee
- Less than 29 days prior to departure - 100% fee
Should your journey include an international currency payment, you will be notified during the planning process. While we do our best to forecast currency exchange rates, the final payments may be adjusted to reflect current rates on the date of payment. If the rate is higher than 3% of the price quoted, you will be notified prior to processing the charge. We always do our best to mitigate any increases by working in USD, however global currency is variable market.
