We suggest you obtain traveler's insurance for your trip (or consider their annual plan for all trips within a one year period. In order for pre-existing conditions to be included, insurance plans need to be obtained within 15 days of a trip deposit. We recommend Travel Guard for traveler's insurance and are happy to provide a quotation. For more information, please read about options on our Insurance page here.


Once we've planned your ideal journey, we will need you to complete the Client Booking Form to confirm the trip, which includes agreeing to the deposit and cancellation terms noted below. While we absorb the international wire transfer fees to make payments to suppliers for your trip, if there are costs associated with receiving money from clients, there may be a supplement as noted below. (We do this to avoid a standard 3% supplement on all bookings.)  

You may use the following methods of payment for the the planning fee, deposit or final payment with more information found here:

  • Personal/business check, money order or Zelle (no fee)

  • Venmo (1.9% fee)

  • Wire transfer ($15 fee)

  • Credit card - Visa, MasterCard, AMEX or Discover (3% processing fee)

Every destination, hotel, transportation provider, guides, etc., has different deposit policies. Should there be more restrictive terms for deposit and final payments than listed below, this will be identified during the planning process. Our deposit policies are the following:

  • Twenty-five percent (25%) due at the time of confirmation

  • Final payment due 90 days prior to departure

Cancellation policies vary with every destination, hotel, transportation provider, guides, etc., however we will always do our best to obtain as much as possible either through a refund or future travel credit. Some items such as gorilla trekking permits, train/airline tickets and some entrance fees are non-refundable at the time of confirmation. Any wire transfer fees incurred during the booking/refund process will be deducted and are non-refundable. Our cancellation policies are the following:

  • More than 120 days prior to departure - 10% fee

  • 91-120 days prior to departure - 25% fee

  • 61-90 days prior to departure - 50% fee

  • 31-60 days prior to departure - 75% fee

  • Less than 30 days prior to departure - 100% fee

Should your journey include an international currency payment, you will be notified during the planning process. While we do our best to forecast currency exchange rates, the final payment may be adjusted to reflect current rates on the dates of payment.  If the rate changes significantly, you will be notified prior to processing the charge.  We always do our best to mitigate any increases by working in USD, however global currency is a variable market.
